Whether you are scheduling an annual safety check for your vital signs monitor or setting reminder to reorder blood pressure cuffs, TELS Tasks can be a powerful tool for ensuring your equipment in maintained on schedule.
TELS® Platform enables you to add new tasks to the regular schedule and adjust your building’s task schedule. This guide will show you how to add new tasks and set task schedules. This task will appear on the maintenance team's task list, so you can ensure this happens regularly and can support completion records with documentation.
Note that the TELS user needs to be a standard or power user and have All Task Permissions to create and assign a task to the schedule.
- Navigate to the Manage Tasks page.
If you manage a single building: Once you’ve signed in, select Administration, then Configure Tasks at the top of your screen.
If you manage multiple buildings: Once you’ve signed in, select Configure at the top of your dashboard, then select Tasks.
- Select Add New Task.
- Enter the following fields:
• Title: Short description of the work needed, such as "Test and log hot water temperatures."
• Category: Type of asset or categorization of work, such as "Ice machine," "Facility Inspection" and "Drills & Exercises."
• Task Type: Choose between "Preventative Maintenance," "Regulatory Requirement" and "Loss Prevention."
• Allow Document Upload: Choose whether you want to let users upload documentation associated with the task.
• Recommended Schedule: See Step 4 below.
• Instructions (optional): Detail any instructions for the maintenance team when working on the task.
- When setting the Recommended Schedule, enter the recurrence (e.g., for an annual task, set to occur every 12 months) and the date range. Select OK.
- After all required fields are filled in, Save to create the task.
- To assign the new task to a building’s schedule, select the desired building(s). To add it to all buildings, check the box next to Location.
- Confirm the desired occurrence and the desired start date of the task. Select Set and then Apply Pending Changes. The new task has now been applied to the schedule(s).
